Join a founder-led, fast-growing company (3 employees) where you'll serve as the operational backbone and right hand to the CEO.

This company delivers specialized waterproofing solutions for commercial and industrial projects, helping customers prevent costly structural damage and ensure long-term building performance.

This is not a big-company management role. It's a hands-on builder position for someone who thrives in ambiguity, takes ownership, and wants to help scale a business from the inside. You'll step into a role where everything runs through you-from turning sales into executed projects, to keeping finances organized, to ensuring customers have a seamless experience.

In EOS terms, this role functions as the Integrator-the person who turns vision into execution and keeps the business moving forward day to day.

Key Responsibilities

Operational Leadership & Business Execution

  • Own and oversee daily operational activities related to waterproofing technology projects, ensuring seamless execution from sale through delivery.
  • Translate sales and leadership priorities into clear operational plans, workflows, and accountability.
  • Act as the operational "quarterback," coordinating internal teams, vendors, and customers to keep projects moving forward.
  • Identify bottlenecks, risks, and inefficiencies; proactively recommend and implement solutions.
  • Ensure operational execution aligns with company objectives, quality standards, timelines, and customer expectations.
  • Step in as the primary operational owner when the CEO is traveling or focused on external business development.

Project Oversight & Coordination

  • Partner closely with sales to manage and track projects from order intake through completion.
  • Maintain visibility into project timelines, deliverables, documentation, and financial considerations.
  • Monitor job costs, scope, and budgets; flag risks early and support course correction.
  • Ensure projects are executed efficiently, on time, and in alignment with margin expectations.
  • Create and maintain clear systems for project tracking, reporting, and follow-through.

Financial Operations & Light Accounting Oversight

  • Manage day-to-day financial operations in partnership with the CEO and external CPA/bookkeeping partners.
  • Oversee and support:
    • Accounts payable and vendor bill coordination
    • Accounts receivable, invoicing, and collections tracking
    • Expense documentation and financial recordkeeping
  • Maintain organized financial and operational records by customer, project, and vendor.
  • Prepare basic financial summaries and operational reports to support decision-making.
  • Provide documentation and coordination support for month-end and year-end close activities.

Certified Applicator Program Management

  • Own the operational execution of the Certified Applicator Program, including:
    • Coordinating training logistics and materials
    • Maintaining certification records and documentation
    • Serving as an operational point of contact for certified applicators
  • Ensure program consistency, responsiveness, and a professional experience for partners in the field.

Cross-Functional Collaboration & Sales Enablement

  • Work closely with sales, marketing, and R&D to ensure operational alignment and execution.
  • Provide operational and technical input that supports sales strategy, proposals, and customer commitments.
  • Actively support the CEO and sales team in closing and executing large or strategic deals by ensuring operational readiness.

Customer & Stakeholder Experience

  • Serve as a primary point of contact for select customers, building trust-based, long-term relationships.
  • Deliver proactive communication, follow-up, and coordination to ensure customer satisfaction.
  • Support order processing, documentation, and post-sale execution to ensure a smooth customer experience.

Qualifications

  • Experience in operations management, project coordination, office management, or business operations-ideally within a small or growing company.
  • Comfort with light accounting and financial operations, including AP/AR, invoicing, expense tracking, and financial documentation.
  • Highly organized and detail-oriented, with the ability to manage multiple projects and priorities independently.
  • Strong communication skills and a customer-first mindset.
  • Proven ability to operate autonomously and hold yourself accountable without daily oversight.
  • Proficiency with Microsoft Office (Excel, Word); experience with Monday.com, Capsule CRM, or similar tools is a plus.
